  1. Objective 

The objective of the Financial Report Form Enhancements is to enhance the current financial reporting tool by introducing additional functionalities. The scope of these improvements encompasses a wide range of features, and as part of the improvements, it includes new capabilities such as controlling zero values and displaying horizontal lines. These enhancements offer users the flexibility to customize their reports according to their preferences, making the reporting process more user-friendly. 

The project outlines a series of enhancements aimed at achieving the following goals: streamlining data collection, enhancing data accuracy, and gaining more profound insights into the organization's financial performance.

  1. Horizontal line setting for Report Line Set. 

  1. Displaying print values as blank, replace zero with blank or keep zero. 

  1. Message as “Report generation is in progress...” when user tries to generate two reports at one time. 

 

2.1 Horizontal line setting for Report Line Set 

 

Vienna has introduced a new and versatile setting called "Horizontal Line" in the Report Line Set tab. When the users access this dropdown field, they can choose from three options: 

 

  • Before Line Break: Selecting the "before line break" option will dynamically add a horizontal line before the header row and the ledger row from the "Report Line Set" tab in the generated report. This feature empowers users to highlight specific sections of their reports according to their preferences. 

 

 

  • After Line Break: Opting for the "after line break" option will add a horizontal line after the header row and the ledger row from the "Report Line Set" tab in the report output. Users can utilize this functionality to emphasize important information within the report. 

 

 

  • Before and After Line Break: The "before and after line break" option allows users to display horizontal lines both before and after the header row and the ledger row from the "Report Line Set" tab in the generated report. This comprehensive approach ensures the utmost clarity and distinction between different sections of the financial report. 

 

 

This results in highlighting the rows as per user preferences. This enhancement is applicable to both line types such as segment value or calculation and can also be implemented for rows linked with Ledger code or ledger group. Additionally, users can choose to disable the "Horizontal Line" setting to generate a report without any horizontal lines, providing a clean and uncluttered presentation of data as per their preferences. Data will be presented in the same User Interface generated report format to PDF except in Excel format. 

 

2.2 Displaying print values as Actual, Replace zero with blank or Keep zero 

This feature provides uniformity in the report, enhancing its visual appeal and making it easier to comprehend. 

Incorporating greater customization options, the Financial Report Form now offers a setting in the "Report Line Set" tab to customize the display of print values as "Actual," "Zero," or "Blank" based on the user’s specific requirements. Users have the option to select any option for print values, and then the system will then render the amount column in the generated report with the defined value. This functionality is applicable in the "Column Posting Type" panel. The print value can be applied to line type as segment value only. There are three options defined in print value field which are: 

 

  • Actual: When user “unselects” any option in print value field in “column posting type” panel on Report Line Set, then the system defaults to the standard actual defined values which will be executed in generated report.  

For example:  

  • Suppose the posting value on User Interface is set to 400, and print value is “unselected”, then in that case, the generated report will exhibit the same actual value as 400 for the posting type arranged accordingly.  

  • Suppose the posting value on User Interface is set to zero, and print value is “unselected”, then the generated report will exhibit zero value for the posting type arranged accordingly. 

  • When Subgroup value is zero, then in subgroup row on UI, the system will show blank. 

 

 

 

 

  • Replace Zero with Blank: When user opts “Replace Zero with blank” option in print value field in “column posting type” panel on Report Line Set, then zero values will be executed as blank (null) on the generated report. 

For example:  

  • Suppose the posting value on User Interface is set to 400 and print value is set to “replace zero with blank”, then in that case, value in generated report will be 400. 

  • Suppose the posting value on User Interface is set to zero and print value field is set to “replace zero with blank”, then in that case, value in generated report will be blank. 

  • When Subgroup value is zero, then in subgroup row on UI, the system will show blank

 

 

 

 

  • Keep Zero: When user selects “keep zero” option in print value field in “column posting type” panel on Report Line Set, then blank (null) values will be visible as zero. 

For example: 

  • Suppose the posting value on User Interface is set to 400, then in that case, the generated report will exhibit the same actual value as 400 for the posting type arranged accordingly.  

  • Suppose the posting value on User Interface is set to zero, then the generated report will exhibit zero value for the posting type arranged accordingly. 

  • When Subgroup value is zero, then in subgroup row on UI, the system will show the blank cell as zero

 

 

 

 

 

The system follows a priority order for print value, first considering "Print value” field on report line set on column posting type panel, and if not specified, it will look to the actual values. Consequently, all values displayed on the User Interface will be actual.  

This print value is maintained when the user generates a report and zoom into (i) icon and chooses to export it in either PDF or Excel format. 

 

2.3 Notification message as “Report generation is in progress...” when user tries to generate two reports at one time 

 

At one time two reports cannot be generated or executed together by a single user. Once the report generation is completed by the system, a notification message will be displayed, indicating that the report is already opened. This message informs the user that one report is already opened, ensuring that the user cannot open two reports at one time on User Interface. But users can open two reports at one time in PDF format or Excel format. 

 

 

 

In summary, the provided print value settings give users the flexibility to customize the display of numerical values in the financial report, ensuring that the exported data aligns precisely with their preferred values for better financial analysis. This also ensures the better presentation of data as per user preferences. It eliminates any confusion or need for reformatting the incomplete data when sharing or presenting the report, as it will maintain the original data as per user preference. 

These enhancements significantly enhance user productivity and efficiency by enabling multitasking during report generation. Users can now seamlessly proceed with their work without being hindered by the report generation process, ultimately leading to a smoother and more productive user experience.
