User Manual - Amount Dimension Control

Overview  

This document helps you to understand about the functionality of 'Amount Dimension Control' & how to use it in the Transactions & its effect on postings. 

Amount Dimension Control 

'Amount Dimension Control' is used to allocate the amount into different dimensions . Dimensions are linked with 'Accounting Schema' under 'Accounting Schema Element' tab will show in 'Type' field, like Organization, Account, Product, Business Partner, Project etc.  

Amount can be allocated in one dimension type only and not to be in multiple dimension types. Also dimension can be post in a particular 'Accounting Schema' or in all depending on requirement. 

The amount dimension functionality is available on the Invoice/Order/Payment/Cash Journal/Bank Statement & GL Journal window. However, user can add 'Amount Dimension Control' on any window where posting happen. 

Onto the Invoice & Order window, It is available on the on the Header & Invoice/ Order Line both. 

 How To Set Dimensions in Vienna Advantage 

  • Open the Accounting Schema window.  

  • After opening the Accounting Schema window , go to "Account Schema Element" Tab. 

  • Add new dimension. 

  • Records created here will show on 'Amount Dimension Control' under 'Type' Dropdown. 

 

Organization &  Account are the mandatory dimensions which every user needs to create. User can add other dimension as per their requirement.  

Configure Posting Logic With Amount Dimension 

  • Open 'Account Localization' window and select your record. 

  • Go to 'Posting Rule' Tab and select the posting document type. Where you want to enable the 'Amount Dimension' functionality.  

  • Let's take the example of AP Invoice. 

  • Go to 'Posting Logics' tab. Create or select existing logic  

  • Tick 'Amount Dimension Applicable' checkbox. Select Amount Dimension Grand Total under 'Amount Dimension Column' field. 

User can do same configuration for posting logic defined at line level.  

Below is the example of split on electricity bill in different organization. 

  • Create an Invoice (vendor) with its line  

  • Now onto Invoice Header , there are two fields available : 

    • Amount Dimension Sub Total 

    • Amount Dimension Grand Total 

  • Click on 'Amount Dimension Grand Total' to open control.  

  • Select organization in 'Type' field, 'Organization' and 'Amount' field will auto populate. 

  • Select organization and enter amount. User can add multiple organization. However, amount can't be greater than the 'Total Amount' (Here Total Amount is Grand Total Amount).  

  • Complete the Invoice (vendor) document and post the document.  

  • Below is the screenshot of invoice after posting. The posting done in the 'Store' organization with the amount 640 comes from Amount Dimension Control. 

 

In case document is Completed, User can only view Dimension Control. 

There is no option to split the Amount percentage wise on Dimension control. 

 

Enhancement Version 1.1 

In this update, we are introducing an excel import option on "Amount Dimension Control". This allows the user to import multiple records against the selected dimension type. Excel will be having three columns: 

Column A: will be for Ledger Code. 

Column B: will be for Search Key/Name. 

  • User will insert name in excel sheet based on identifier mark on that table. If any window has two identifiers then system will check the least sequence number among both. It will work like 0, 1, 2 and so on. 

For example Customer Master table has 'Name' marked as identifier, user shall use customer name on excel column B, If Customer master has 'Search Key' and 'Name' as identifier, where search key is the first identifier. Then user shall add search key in excel column B. 

Column C: will be for Amount 

User shall not change the name and place of the excel column in the file format. 

It is recommended to use correct sign (+Ve and –Ve) in excel sheet. For example when importing data on cash journal line against 'Payment Type' then Payment amount would be in negative, user must enter the amount accordingly. 

If Dimension Line Total becomes greater than total amount then system will show message "Dimension Line Total cannot be greater than Total Amount". 

In case, system do not find any ledger, Business partner or any dimension (data is mismatch)system show message 'Data is not according to the format' or 'Errorgettingdata'.
