Load Batch Data Functionality
Batch Component Entry
Batch Component is used to upload the non-recurring components every month, which will be transferred to the Employee Work information-->Component Entries. This Components will be transferred to payroll. System will give the feasibility to the User to upload the Component along with the Employee records and Value for the given components in the excel sheet in one single file upload.
Pre-Requisites
Employee must be created in the system and Active.
Components should be created in the system before uploading the data into the system.
Input Value should be created correctly and validated.
Batch should be created with the respective Payroll period.
Steps to be followed:
Login to VA System-->Go to menu-->Human Resource Management-->General Definition-->Batch Component Entry.
Or
Go to Menu and search for Batch Component entry.
Navigation to create the record on the Batch Component Entry Window
Step 1
Select the Organization if User has access to multiple organizations, then organization will come automatically.
User need to give the data in the mandatory fields marked as red. Batch Name should be unique.
Select the Batch Type as Payroll from the drop-down list of value.
Select the Action on Existing record as create new entry.
Based on the Organization selected Payroll Name will show automatically in the drop-down list, user need to select.
Select the Payroll Period from the list, in which month the user is going to upload the non-recurring components.
Click on Save.
Step 2
User will prepare an excel sheet as per the attached format including Batch Name, Component Name, followed by Employee No, Input Value, Amount and Effective Date.

Step 3
User will click on the Load Batch Data Button to import the data from the excel to Batch Component Entry.
After selecting The Load Batch Data button, a dialogue box will open, select ok to start the process of Load Batch Data.
After selecting the ok button, the dialogue box is opened to upload the file.
Select the folder icon to load data in Excel format from your system to the VA system.
System will give an error message if user map the incorrect component name or new component name, with incorrect input value, or if any employee already resigned, and not in the system.
User can see the Error if any in the Batch Upload Error tab as mentioned below.
Data was uploaded with no errors.
Step 4
After data is loaded with no error, the user can press the process button to validate the data to start the process of transferring the batch entries to component entries.
