Document- DMS Enhancements

1. DMS Configuration 

New window is introduced in the DMS named as DMS Configuration. This window is used for configuration in DMS in which we gave multiple access: 

• Enable Action Log 

• Enable In-Out Document 

• Folder Load on Demand 

• Enable Digital Signature 

• Use Recycle Bin

2. Recycle bin functionality added. 

The Recycle Bin feature allows users to seamlessly recover deleted documents or their versions and restore them to their original storage location. Users can easily retrieve deleted documents and their respective versions directly from the Document Management System (DMS).

To utilize this functionality, users must enable the Recycle Bin option by marking the checkbox True in the DMS Configuration. 

Once the user deletes the document it will directly goes to recycle bin as mentioned in the below screenshot

If user delete only the latest document version the interface will seam below screenshot: 

The user has two options when using the recycle bin: permanently deleting the document or restoring the previously deleted document. 

• Permanently Delete document   

• Restoring the Document    

To receive Delete Notifications, users need to execute the dedicated scheduler designed for this purpose. Please refer to the screenshot below for guidance on initiating the scheduler 

so, after running the scheduler, the user will get a notification regarding the deleted document, as mentioned below. 

Once the scheduler is run, the notification is sent to the respective user, and the log of the notification will be visible on the DMS Notification Status window. 

Through the DMS Notification Status window, the user get to know which user received the notification same is mentioned below 

3. Activity tab with detail. 
   The DMS Activity feature allows users to monitor document actions like uploads, checkouts, and approvals. Enabling "Action Log" in the DMS config provides users with exclusive tracing capabilities for their specific document-related actions. For this user needs  to  click  on Details (Document Action).

1. Folder action added on breadcrumb folder. 

User can now use folder actions from breadcrumb area for that just click on three dot ellipsis icon and folder actions will appear. Rename, move and delete actions are not included in this action list for this area. 

1. New function added in DMS Web Service for digital signing for mobile support. 

A new function "SubmitSignedDocumentFromMobile" is added in DMS Web Service. For more detail go through DMS Web Service document. 

Enhancement Features In DMS Version 3.1.8.0

1. Folder action added on breadcrumb folder. 

User can now use folder actions from breadcrumb area for that just click on three dot ellipsis icon and folder actions will appear. Rename, move and delete actions are not included in this action list for this area. 

2. New function added in DMS Web Service for digital signing for mobile support. 

A new function "SubmitSignedDocument" is added in DMS Web Service for mobile support. For more detail click here.  

1. Folder Structure Copy feature Extended 

User can now create a copy of selected source folder at root level. It will create same structure of selected folder (sub folders and nested sub folders) as a main folder. For this target folder should be empty.  

Suffix and prefix position is changed now prefix will come before suffix. As shown in below image.

1. Folder Structure Copy feature added 

User can now create a copy of selected source folder. It will create same structure of selected folder (sub folders and nested sub folders) into selected target folder. It will same time to manually create same required structure.  User can select this option from folder action by clicking Copy Folder Structure action 

It will open Copy folder Structure model. Please check below image. 

• On left section selected source folder along with its available sub folders will be populate. 

• On right section top user can modify folder names by adding/removing suffix or prefix. 

  • Enter value is the value which can be used for adding or can also be used for matching word. 

  • User can select required Action from action dropdown control. These actions are as below. 

    • Add If Value Not Exists – System will check or match Entered Value and if not found then will append given value on all folders as per selected option of suffix or prefix. 

    • Add Even Value Exists – System will not check or matching value, rather it will append Entered Value on all folders as per selected option of suffix or prefix. 

    • Replace Value With – System will check Entered Value and if found then will replace it with Replace Value on found folders  as per selected option of suffix or prefix. 

    • Add If Not Exists & Replace Value – System will check Entered Value and if found it will replace it with Replace Value on found folders and if not found then will add Replace Value to remaining folders as per selected option of suffix or prefix. 

• On right section middle part user can see preview before creating the folders. 

• On right bottom user can select target folder in which he/she wants to create same source folder structure. User can also check/uncheck permission option of target folder to create structure with same permission as is on target folder. User can click on Preview button to see the preview. Once user is done with all the settings he/she can click on Create button to create folder in selected target folder. 

• All this Copy Folder Permission work is done at background. User can check result after some time which depends on much deep or heavy is selected folder structure. 

Chat Icon Added 

New icon added for chat Indication. If  user has done chat on any document then chat icon will be displayed in document grid.

Email with QR feature added 

• New action button (Send Email With QR) added on document action. Please check below image for references. 

• It will open new Email With QR form. 

• Send Email With QR opens new email form, from there user can search and select required options and can send them email at one go. Please check below images for references. 

• This work is done on different thread asynchronously which runs at background thus does not freeze screen and user is able to do other tasks. 

• Once all done user can check history of email from top bar QR Mail History by clicking three dot ellipsis. Please check below images for references. 

• This is take user to the QR Mail Status window. Please check below images for references. 

• On header tab user can check detailed information about mail. Please check below images for references. 

• On QR EMail Status Line, user can check which mails were send successfully and which mails gets failed. 

New Chat icon added 

• New chat icon is added next to document 

• This icon is displays only if there is any chat done on selected document.

Updated Auto Upload Setting window's fields 

• Now there is a search field in folder selection instead of manually adding folder id, for both Auto Upload Settings and Email Attachment Settings
